Office Assistant
Your attention to detail, strong organizational skills & initiative. You will provide support to the General Manager. You will be responsible for a variety of office tasks including finance processing, staff support & correspondence, health & safety committee support, and providing our vendors, customers and staff with exceptional and prompt service.
This position will be 30 – 40 hours a week
Responsibilities:
Reconcile daily night audit reports, and enter into QuickBooks;
Ensure Servers Over & Shorts are recorded, reviewed with the Food and Beverage Manager to minimize future errors, and collected/paid out on a regular basis;
Ensure Sour Toe Captain commissions are reconciled and paid out on a regular basis;
Ensure the Front Desk Manager and team members are aware of any errors made in regards to financial postings, and are educated on corrections or processes required;
Process Accounts Receivables invoices and payments, and follow up on overdue accounts in a timely manner;
Assist in a variety of tasks including data entry, tracking of expenses & revenue, payroll and year-end preparation for auditors;
Assist the General Manager as needed with general data entry, spreadsheets for tracking various data, client & staff correspondence, policy review and development and other office related tasks;
Communicate information & requests regarding Vendor, Customer & staff
Establish and maintain attentive, friendly, courteous and efficient service to all vendors, customers, staff and guests;
Develop a thorough knowledge of hotel policies and procedures in regards to staff, finance and health & safety, and provide general advice as required;
Assist the General Manager with Health & Safety related tasks, including agenda preparation, minute taking and distribution, policy review & development, completing & following up on action items and following up with staff certificates related to Health & Safety training;
Keep back office, filing and desk area stocked, clean and presentable;
Assist with office supplies inventory and ordering;
Other duties assigned by Management.
Qualifications:
High School Diploma or equivalent;
Beginner to intermediate experience and understanding of Microsoft Excel, Word and Outlook;
Experience with accounting software, preferably QuickBooks – or willingness to learn;
Previous Customer service and/or office experience is an asset;
Ability to show initiative and effectively work independently;
Organized, focused and ability to manage time efficiently;
Flexible in availability of hours include evenings, weekends to ensure deadlines are met
Wage dependent on experience.
